Airbnb management in Cardiff should cover the work before, during and after each booking. A strong service brings listing quality, pricing, guest care and local property operations into one clear plan.
“Full service” needs a written scope. Use the checklist below to compare managers, identify costs and understand which decisions still need your approval.
Airbnb management in Cardiff starts with positioning
Before launch, a manager should assess the home, agree the guests it suits and identify any practical gaps. A stylish apartment still needs comfortable beds, usable storage, reliable Wi-Fi and clear access instructions.
The positioning should reflect the actual location and facilities. Describe parking, stairs and sleeping arrangements honestly. Do not advertise easy stadium access or a dedicated workspace unless the property supports that promise.
Photography and listing creation
Expect a photography plan, preparation advice and a listing that answers common booking questions. Images should show the rooms, layout and useful details, without hiding limitations.
The manager should write the description, check amenities, set house rules and configure availability, cancellation terms and booking settings. If more than one channel is used, ask how calendars stay aligned.
Agree who pays for photography and who can use the images. Confirm ownership of the listing, access to booking records and how future reservations would be handled if you change manager.
Dynamic pricing with human judgement
Dynamic pricing means reviewing rates as booking conditions change. A manager should consider comparable homes, lead time, existing bookings and local dates, then explain the decisions.
Ask how minimum stays, gaps between reservations and discounts are managed. A higher advertised rate is only useful if the overall booking outcome makes sense after costs.
For valuable dates, use a deliberate plan. Our guide to Cardiff event-weekend pricing explains the questions to ask before adjusting rates.
Guest communication and sensible screening
The service should cover enquiries, booking confirmation, pre-arrival messages, questions during the stay and departure instructions. Ask who responds outside office hours and how urgent issues reach someone locally.
Screening should use available booking information and consistent house rules. Airbnb explains the details hosts can see before booking, including reviews and identity verification status.
A verified profile is not a guarantee of good behaviour. Airbnb's identity guidance also explains the limits of verification. Ask how a manager handles unclear guest numbers, unsuitable requests or suspected rule breaches within platform policies.
Check-in that works on arrival
Guests need precise directions, usable access instructions and a tested way to enter. If self check-in is used, the manager should maintain the access system and have a fallback for a lost key or failed code.
Agree responsibility for arrival problems, replacement keys and emergency access. A message template cannot resolve a lock that does not work.
Housekeeping, linen and turnover checks
Full-service care should include scheduling cleaners, a property-specific checklist and a way to confirm the home is ready before the next guest arrives. Linen needs an agreed supply, laundry and replacement process.
Ask who checks bathrooms, beds, kitchen equipment and consumables, and how damage or missing items are reported. Agree the plan for same-day turnovers and cleaner absence.
Cleaning coordination and cleaning costs are separate questions. Establish whether cleaning, laundry, restocking and replacement linen are charged separately, passed to guests or included in the management arrangement.
Maintenance coordination and spending limits
A manager should log issues, arrange suitable tradespeople and keep you informed until work is complete. Set an approval limit for routine repairs and a clear process for urgent problems.
Ask about contractor charges, any coordination fee and how invoices appear on your statement. Major repairs and improvements need an explicit agreement rather than an assumption that “full service” covers every cost.
Compliance support with named responsibilities
Expect a launch checklist that identifies relevant permissions, insurance and safety work, with records and reminders. Ask who organises checks, who pays and which tasks require a qualified adviser.
The Welsh Government's fire safety guide covers small guest accommodation, including self-catering properties. A manager should help coordinate the appropriate assessment and follow-up work for your home.
The WRA's current registration guidance requires qualifying Welsh visitor accommodation providers to register by 31 March 2027. The provider remains responsible, although an agent can register on their behalf.
For Cardiff, also agree how visitor levy preparation and booking records fit into the service. Management support does not replace individual legal or tax advice.
Owner reporting that shows the net outcome
An owner statement should make bookings, gross booking revenue, management fees, platform charges, operating costs and the amount paid to you easy to follow. Ask for a sample before signing.
Agree when statements and payments arrive, how cancellations and refunds are shown, and how you can see future bookings. Reporting should explain pricing choices and recurring issues as well as list figures.
Transparent fees: what does 15% mean?
Lougher & Co charges 15% including VAT, calculated on gross booking revenue. On £2,000 of gross booking revenue, that management fee is £300 including VAT. This example illustrates the fee calculation, not expected income.
Gross booking revenue is the calculation base, not your net payout after platform charges and operating costs. Ask for the contract to define the treatment of cleaning charges, refunds and other booking adjustments.
Compare the whole arrangement. Photography, cleaning, linen, consumables, repairs and platform charges need clear treatment in the written proposal. Do not assume a commission percentage includes every operating cost.
Five questions before choosing a manager
- Who handles each stage of a booking, including out-of-hours problems?
- How are cleaning standards and guest-ready checks confirmed?
- Which costs sit outside the management fee?
- What can I see in the owner statement and booking calendar?
- What needs my approval, and what happens if I end the agreement?
Official guidance checked on 7 October 2026. The checklist describes what owners should discuss with a manager; the agreed service and costs should be confirmed in writing.
